Terms of Service

Draft of 2026-10-17

1. Agreeing to these terms

These terms are an agreement between you and [legal entity name, to be confirmed] (“we”, “us”) for using WIbookAI. By using WIbookAI you agree to them and confirm you have read our Privacy Policy.

If you use WIbookAI for a venue or other business, you confirm you may accept these terms for it, and “you” includes that business.

2. What WIbookAI is

WIbookAI is software for wedding venues. Venue teams use it to manage inquiries, tours, bookings, payment records, documents and contracts, event preparation and floor plans. Venues can invite their couples to a private portal, and couples can collect RSVPs from their guests by link.

WIbookAI records payments a venue tells it about. It does not hold funds or process card payments.

3. Your account

  • Give accurate information and keep it up to date.
  • Keep your password private and don’t share your login.
  • You are responsible for what happens in your account. Tell us promptly if you think someone else has used it.
  • Venue owners decide who is on their team and what each person can do, and must remove people who should no longer have access.

4. Venues and their data

  • Your venue owns the information it puts into WIbookAI and decides how it is used. We process it for you as described in our Privacy Policy.
  • You are responsible for having the right to collect and store information about your inquiries, couples, guests and vendors, and for giving them any notices the law requires.
  • You are responsible for your contracts, including whether an agreement signed with WIbookAI’s typed-name electronic signature meets the legal requirements that apply to you.
  • You are responsible for the accuracy of the payment records you keep and for your own tax and accounting.
  • Only send emails through WIbookAI to people who expect them. No spam or bulk marketing.

5. Couples using the portal

Your venue gives you access to the portal for your event. The venue controls the event and its data: it can see what you add, change event details and remove your access. Your booking, contract and payments are between you and your venue. We are not a party to them.

6. Acceptable use

Don’t use WIbookAI to break the law or infringe anyone’s rights; upload malware or unlawful, abusive or deceptive content; send unsolicited messages; try to access accounts or data that aren’t yours or get around our security; or overload, scrape, copy or resell the service without our written permission.

7. Your content

You keep ownership of the content you and your team put into WIbookAI. You give us permission to host, store, process, transmit and display it only as needed to provide, secure and support WIbookAI for you.

[Data processing terms for venues, if needed, to be prepared by counsel.]

8. Fees

The founding pilot is free. Before you are charged anything, we will show you the price, billing period and renewal terms, and you will agree to them separately.

9. Leaving and your data

You can stop using WIbookAI at any time. Ask us before you leave and we will help you take a copy of your venue’s data. Deleted events stay in Trash for 30 days and are then permanently deleted.

10. Changes and availability

We keep improving WIbookAI and may add, change or remove features. We aim to keep it available and reliable, but we don’t promise it will always be available, error free or uninterrupted. Keep your own copies of important documents.

11. Suspension and ending these terms

We may suspend or end access if you seriously or repeatedly break these terms, if the law requires it, or to protect WIbookAI or its users. Where reasonable, we will tell you first and give you a chance to take a copy of your data.

12. Disclaimers

WIbookAI is provided “as is” and “as available”, without warranties of any kind, to the extent the law allows. [Full warranty disclaimer to be drafted by counsel.]

13. Limitation of liability

[Limitation of liability, including any cap and excluded damages, to be drafted by counsel.]

14. Indemnity

[Indemnity to be drafted by counsel.]

15. Governing law and disputes

These terms are governed by the laws of [state, to be confirmed]. [Dispute resolution and venue for claims to be confirmed by counsel.]

16. Changes to these terms

When we change these terms we update the date at the top and tell venue owners about significant changes. If you don’t agree, you can stop using WIbookAI.

17. Contact

Questions about these terms: [support email, to be confirmed]. [Legal entity name and postal address, to be confirmed.]
